Important terms to read first
These parts of the terms limit our responsibility or affect what you pay. Please read them before you agree:
- Aukly can make mistakes. AI suggestions and figures read from documents can be wrong. You must check every transaction before you rely on it. Aukly is not accounting or tax advice (section 5).
- Plans renew every month and your card is charged automatically until you cancel (section 10).
- Refunds: once you use a page from a month, that month's payment can't be refunded (section 12 and our Refund Policy).
- Our liability is limited to the greater of what you paid us in the previous 12 months and R1,000, and we aren't liable for indirect loss or SARS penalties that come from figures you didn't check (section 18).
- You compensate us for claims caused by documents you weren't entitled to upload (section 19).
- Deleting your account is final after 14 days, when all your data is erased (section 14).
1. About these terms
You agree to these terms, our Privacy Policy and our Refund Policy by ticking the agreement box when you create an Aukly account, and you confirm them again before each plan purchase. We record which version you agreed to and when. If you use Aukly on behalf of a business, you confirm that you have authority to bind that business, and "you" includes it.
If you are a consumer, nothing in these terms limits the rights you have under the Consumer Protection Act 68 of 2008 (CPA) or the Electronic Communications and Transactions Act 25 of 2002 (ECTA). Where a term conflicts with those rights, the law applies.
You can save or print these terms at any time from this page.

Aukly will move to its own company. Aukly is currently operated by Rusbee Labs (Pty) Ltd while a separate company is registered to run it. When that happens, your agreement, your plan and your data will move to the new company on the same terms. We will email you at least 30 days before the move, tell you the new company's details, and you may cancel before the move takes effect if you don't want to continue.
3. Who can use Aukly
You must be at least 18 years old and able to enter into a binding agreement. Each account is for one person. Please don't share your sign-in details.
4. What Aukly does
Aukly is an online bookkeeping tool. You upload receipts, invoices and bank statements, and Aukly:
- reads the documents and extracts the transactions in them;
- uses AI to suggest a category, transaction type and VAT treatment for each transaction;
- lets you approve, correct or reject each suggestion, and learns from your corrections for your own account;
- keeps your approved transactions as income and expense books with a dashboard; and
- lets you export your books as CSV or Excel files.
You can keep separate books in Personal and Business mode. Documents are usually processed within minutes, but it can take longer when Aukly is busy.
5. Aukly is not professional advice
Aukly is software. It is not an accountant, bookkeeper, auditor or registered tax practitioner, and nothing it produces is financial, accounting or tax advice.
- AI suggestions can be wrong. Documents can be unclear or incomplete, and the reading step can miss or misread figures. You must review every transaction before relying on it.
- VAT amounts are worked out from what appears on your documents. They are estimates, not a VAT return.
- You remain responsible for your tax returns, VAT submissions, record-keeping and dealings with SARS. If in doubt, consult a qualified professional.
6. Your account
- Give us accurate information and keep your email address up to date. We use it to send account and billing notices.
- Keep your password secret. You are responsible for activity on your account until you tell us it has been compromised.
- Tell us straight away at support@aukly.co.za if you think someone else has used your account.
7. Your documents and data
You own the documents you upload and the books Aukly creates from them. You give us permission to store, read and process them only to provide Aukly to you, as described in our Privacy Policy.
You confirm that:
- you are entitled to upload each document;
- where a document contains personal information about other people (such as the names of people you paid), you have a lawful basis under POPIA for us to process it on your behalf; and
- your documents don't contain malware and aren't unlawful.
Personal information about other people in your documents
For that information you are the responsible party and we are your operator under POPIA. These terms are the written contract between us that section 21 of POPIA requires. We agree to:
- process it only with your knowledge and authorisation, and only to provide Aukly to you (POPIA section 20);
- treat it as confidential, and not disclose it except to the providers listed in our Privacy Policy, as required by law, or as you instruct;
- keep in place the security measures that POPIA section 19 requires, described on our Data & Security page;
- use only providers bound by written terms that protect the information at least as well as these terms do;
- tell you without undue delay if we have reasonable grounds to believe the information has been accessed or acquired by someone without authority, so that you can meet your own obligations under section 22 (POPIA section 21(2));
- help you, where reasonably possible, to answer requests from the people the information is about; and
- erase it when your account is erased, as described in our Privacy Policy.
8. Acceptable use
You may not:
- use Aukly for anything unlawful, fraudulent or misleading, including preparing false records;
- try to access another customer's data, or probe, scan or test Aukly's security without our written permission;
- get around page allowances, rate limits or other technical limits, for example by creating multiple accounts to get extra free pages;
- copy, reverse-engineer, scrape or resell Aukly, or use it to build a competing service; or
- overload or interfere with the service or other customers' use of it.
We may suspend accounts that break these rules (see section 14).
9. Plans, pages and prices
Aukly is priced by pages. Each plan includes a number of pages every billing month:
| Plan | Price | Pages |
|---|---|---|
| Free trial | R0 | 5 pages, once per account |
| Starter | R149 per month | 60 pages per month |
| Growth | R299 per month | 130 pages per month |
| Business | R599 per month | 275 pages per month |
- Prices are in South African rand and are the full price you pay. No VAT is charged, because Rusbee Labs (Pty) Ltd isn't registered for VAT. There are no setup fees, delivery costs or other charges.
- What counts as a page: each page of a PDF, each image (JPG or PNG), each frame of a TIFF, and every 40 rows (or part of 40) of a spreadsheet or CSV file.
- Aukly counts a document's pages before reading it and won't start if you don't have enough pages left. If Aukly can't process a document, its pages are returned to your allowance automatically.
- Unused pages don't carry over to the next month.
- The free trial gives each account 5 pages once. It is not a monthly allowance.
- We may change prices or allowances. We will give you at least 30 days' notice by email, and changes apply from your next billing date after the notice period. If you don't agree, you can cancel before then.
10. Payment and renewal
- Payments are processed by Paystack. You enter your card details on Paystack's secure page. Aukly never sees or stores them.
- Before you pay, Aukly shows a summary of the plan, its price, when it starts and renews, and our refund rule, so you can check your order, go back or change your mind.
- When you subscribe, you pay the first month straight away and the plan starts as soon as the payment is confirmed. It then renews automatically every month on the same date (or the last day of a shorter month), and the same amount is charged to your card, until you cancel. There is no minimum term. By subscribing, you authorise these recurring charges.
- Your pages for a month become available once the payment for that month is confirmed.
- If a renewal payment fails, your pages stop after a one-day grace period until you update your card from the Billing page.
- Paystack sends you a receipt for every payment. You can see your plan, billing date and pages left on the Billing page at any time.
11. Changing plans
- Upgrading to a bigger plan starts a new billing month straight away at the new price, charged in full. Any pages left from your previous month end at that point, and the previous plan stops renewing. There is no pro-rata credit.
- Moving to a smaller plan: cancel your current plan first. You keep your pages until the end of the month you paid for. You can then choose any plan, which starts a new billing month when you pay for it.
12. Cancellation and refunds
You can cancel at any time from the Billing page. Cancelling stops the next renewal. You keep your plan and pages until the end of the month you have already paid for, and you won't be charged again.
Refunds are covered by our Refund Policy. In short, a monthly payment is refundable in full if you ask before that billing month ends and haven't used any of its pages. Once you have used a page from that month, the service has begun at your request and that month is not refundable. A payment we took in error is always refunded.
If you are a consumer, section 44 of ECTA normally lets you cancel an online purchase within 7 days. At checkout you ask for your plan to start straight away, so under section 42(2)(d) of ECTA that cooling-off right doesn't apply. Our Refund Policy is more generous: any month whose pages you haven't used can be refunded in full.
13. Availability and changes
We work to keep Aukly available and your data safe, but we can't promise uninterrupted or error-free service. We may need to pause it for maintenance, or our providers may have outages. We may improve, change or remove features. If a change materially reduces what your paid plan includes, we will tell you in advance, and you may cancel and ask for a refund of any unused month.
14. Closing or suspending an account
- You can delete your account at any time under Account & privacy in the account menu. Deleting it cancels your plan and signs you out everywhere straight away. After 14 days all your data is erased automatically and can't be recovered, so please export your books first. Until then you can email us to restore the account.
- We may suspend or close an account if you seriously or repeatedly break these terms, if payment fails and isn't resolved, if the law requires it, or to protect Aukly or other customers. Unless the law or a security risk prevents it, we will tell you first and give you a chance to fix the problem and to export your data.
- After an account is closed or deleted, we handle its data as set out in our Privacy Policy.
15. Intellectual property
Aukly's software, design, name and logo belong to Rusbee Labs (Pty) Ltd. These terms give you a personal, non-transferable right to use Aukly while your account is open. They don't transfer any ownership. If you send us ideas or feedback, we may use them without any obligation to you.
16. Third-party services
Aukly relies on providers such as Paystack for payments and Microsoft Azure for document reading (the full list is in our Privacy Policy). Paystack's own terms also apply to your payments. We choose our providers carefully, but we are not responsible for services they provide directly to you.
17. Warranties
To the extent the law allows, Aukly is provided "as is" and "as available". We don't warrant that the AI's suggestions, the extracted figures or the VAT calculations will be complete or correct, or that Aukly will meet every need. This does not limit any warranty you are entitled to under the CPA.
18. Limitation of liability
To the extent the law allows:
- we are not liable for indirect, special or consequential loss, including lost profit, lost business or lost data;
- we are not liable for penalties, interest or assessments from SARS or anyone else that result from figures you relied on without reviewing them; and
- our total liability for all claims arising from these terms or your use of Aukly is limited to the greater of (a) the amount you paid us in the 12 months before the event that caused the claim and (b) R1,000.
Nothing in these terms limits liability for gross negligence, wilful misconduct or fraud, or any liability that the CPA or other law does not allow us to limit. We point this section out at sign-up and in the box at the top of these terms because it limits your rights.
19. Indemnity
You agree to compensate us for claims by third parties that arise because you uploaded documents you were not entitled to upload, processed someone else's personal information without a lawful basis, or used Aukly unlawfully. This does not apply to the extent the claim was caused by our own fault.
20. Disputes and governing law
- If you are unhappy, please email support@aukly.co.za first. We will reply within 10 business days and try to resolve the issue with you.
- These terms are governed by the laws of the Republic of South Africa.
- Disputes will be decided by the South African courts with jurisdiction. You may also approach the National Consumer Commission, the relevant consumer ombud or the Information Regulator, where they have jurisdiction.
21. General
- Changes to these terms: we may update these terms. For material changes, we will email you at least 30 days before they take effect. If you keep using Aukly after that, the new terms apply. If you don't agree, you can cancel before they take effect.
- Notices: we will send notices to the email address on your account. You can send notices to support@aukly.co.za, and we will give you our address for legal notices on request. Emails count as written notices under ECTA.
- Whole agreement: these terms, the Privacy Policy and the Refund Policy are the whole agreement between us about Aukly.
- Severability: if any part of these terms is unenforceable, the rest still applies.
- No waiver: if we don't enforce a right straight away, we haven't given it up.
- Transfer: you may not transfer your account. We may transfer these terms, with at least 30 days' notice by email, to a company formed to operate Aukly or to a buyer of the Aukly business. That company will be bound by these terms, and you may cancel before the transfer takes effect.
